Clean up your Gmail inbox with Automatio for Gmail
Ask the agent to find specific emails and archive, label, or move them to the trash. You get a cleaner inbox and a summary of the actions taken on your messages.
What to ask
Type it in the Automatio chat. Send it as written, or change the details to fit your case.
Find all unread emails from [sender] from more than 30 days ago. Show me a list of their subjects first. Once I confirm, archive all of them and apply the label "Old News".
How it works
- 1
Connect the app
Open Integrations, select the Gmail tile, and sign in with Google to grant access.
- 2
Search and identify
Ask the agent to find mail by sender, date, or subject and request a list to review what it found.
- 3
Execute cleanup
Instruct the agent to
archive, move to Trash, or apply labels to the identified messages. - 4
Review the report
The agent posts a summary of the messages it processed directly in the chat.
What you get
The agent returns a confirmation of the actions performed, listing which emails were archived, labeled, or moved to the Trash. You will see a report of the specific subjects and senders affected.
Since there is no undo button within the chat, you should check the report to ensure it only touched the mail you intended. You can also verify the changes by checking your Gmail labels or Trash folder.
Good to know
- The agent can apply labels to a maximum of 50 messages per call.
- Moving mail to the Trash does not delete it permanently, as Gmail retains it for 30 days.
- It cannot restore messages from the Trash or delete emails permanently.
- Filters created by the agent can apply labels or forward mail, but they cannot archive or mark mail as read.
Variations to try
Archive old notifications
Find all emails with the subject "Notification" older than one year and archive them.
Label and mark read
Find all unread mail from [company] and mark them as read, then apply the label "Receipts".
Clear large attachments
Find emails with attachments from last year that are already read and move them to the Trash.
Questions
Does cleaning up my inbox cost extra credits?
Reading, archiving, and labeling add nothing extra to the credit cost beyond the AI's own usage. Actions like sending or replying add 1 credit each, but standard organization is included in the base AI work.
Can the agent empty my Trash folder?
No, the agent can only move items to the Trash. It cannot permanently delete mail or bypass the 30-day retention period Gmail enforces on the Trash folder.
Is my email data used to train the AI?
No. Automatio follows the Google API Services User Data Policy, and Gmail data is never used to train AI models. The access token is held by the integration service and not stored with your chats.
Can I automate this cleanup every week?
Yes, you can ask the agent to repeat a cleanup task on a schedule, such as "every Friday morning". It will create a paused automation that you can review and resume from the Automations page.
