Move email leads into Google Sheets with Automatio for Gmail

Ask the agent to find lead emails and send the information to a spreadsheet. It reads your messages and appends the details to a sheet you have connected.

What to ask

Type it in the Automatio chat. Send it as written, or change the details to fit your case.

Find the 5 most recent emails with the subject 'Website Inquiry'. Extract the name and email address from each, then append those details to a new row in my spreadsheet named 'Sales Leads'.

How it works

  1. 1

    Connect your accounts

Go to Integrations and then Apps to sign in through the Gmail tile and the Google Drive & Sheets tile using your Google account.

  2. 2

    Request the transfer

Type a request in the chat to find specific lead emails by sender, subject, or label, and ask to put the data into a spreadsheet.

  3. 3

    Link your spreadsheet

Provide the name of a sheet you have already created or opened through Automatio so the agent can locate it in your account.

  4. 4

    Confirm the action

The agent reads the emails and writes the rows to your sheet, costing 1 credit for the write operation on top of the AI usage.

What you get

The agent sends a confirmation message to the chat once it has finished processing the emails. It will report how many rows were added to the spreadsheet and which fields were extracted.

You should open your Google Sheet to verify that the new data appears in the correct columns. The agent appends new leads to the end of the existing data in the sheet you named.

Good to know

  • Writing to a spreadsheet costs 1 credit per call.
  • The agent can only find spreadsheets that were created or previously opened through Automatio.
  • A scheduled automation will be skipped if your balance is under 1,000 credits.
  • Gmail data is read by Gemini for processing but is not used to train AI models.

Variations to try

Schedule a weekly lead export

Every Friday at 4 PM, find all unread emails from [leads@example.com] and append the sender name and body snippet to my 'Weekly Leads' sheet.

Create a new lead sheet

Search for emails with the label 'New Lead' received today. Create a new spreadsheet called 'Daily Leads' and add the contact details from these messages.

Filter leads by attachment

Find all emails from the last 7 days that have an attachment and the word 'Proposal' in the subject. Extract the sender and date into my 'Proposals' spreadsheet.

Questions

Does it cost extra to send data to a sheet?

Yes, appending data to an existing spreadsheet or creating a new one costs 1 credit per call. Finding and reading the emails themselves costs nothing beyond the AI's own usage.

Can I use any spreadsheet in my Google Drive?

The agent can only find and write to spreadsheets that you have already opened or created through Automatio. If it cannot see your sheet, open it once using a command in the chat first.

Is my email data kept private?

Google sign-in is required, and your access token is held by the integration service rather than stored with your chats. Automatio follows Google API Limited Use requirements, and your Gmail data is never used to train AI models.

How do I automate this for new leads?

You can ask the agent to perform the task on a schedule, such as every morning or every Friday. It will create a paused automation that you can resume from the Automations page in the sidebar.
