Label and sort Gmail automatically with Automatio
Ask the agent to find specific emails and apply labels, or set up filters for incoming messages. It creates new labels if they don't exist and can forward mail based on your rules.
What to ask
Type it in the Automatio chat. Send it as written, or change the details to fit your case.
Find all emails from [sender address] about [topic] from the last month. Create a label called '[Label Name]' and apply it to these messages. Also, set up a filter so any future emails from this sender are automatically labeled the same way.
How it works
- 1
Connect your account
In Automatio, go to Integrations, select Apps, click the Gmail tile, and sign in with your Google account.
- 2
Define your sorting rules
Describe the emails you want to organize in the chat by sender, subject, or Gmail search syntax.
- 3
Apply labels and filters
Ask the agent to label existing messages and create a filter for incoming mail to handle future sorting.
What you get
The agent identifies the messages matching your criteria and applies the requested label. If the label does not exist yet, the agent creates it in Gmail for you. It then confirms the creation of any new filters for future mail.
You will see the labeled messages in your Gmail inbox immediately. You should check your Gmail filter settings to verify the new rule is active for incoming mail.
Good to know
- The agent can apply labels to up to 50 messages per call.
- Filters can only be created to apply labels or forward mail; they cannot archive or mark messages as read.
- Sorting existing mail costs nothing extra beyond the credit usage of the AI model itself.
- The agent can create and update labels but cannot delete them.
Variations to try
Sort by attachment type
Find all emails with PDF attachments from [Company Name] and label them 'Invoices'.
Filter and forward
Create a filter to forward all emails with the subject 'Support' to [email address] and apply the label 'Support Tickets'.
Label by keyword
Search for all unread emails containing the word '[Project Name]' and label them '[Project Label]'.
Questions
Does sorting mail cost credits?
Reading and labeling existing mail costs nothing extra beyond the AI's own usage. If a filter forwards an email, that action costs 1 credit per send.
Can I automatically archive mail as it arrives?
No. While the agent can archive existing mail on command, filters created for new mail are limited to labeling and forwarding actions.
Is my email data used to train AI?
No. Automatio follows Google API Services User Data Policy, and Gmail data is not used to train AI models. Google's Gemini reads the raw data to provide a summary for the agent's work.
