Turn emails into a Google Sheet with Automatio

Ask the agent to find specific emails and log their details into a spreadsheet. It finds the messages, extracts the data you need, and appends them as new rows.

What to ask

Type it in the Automatio chat. Send it as written, or change the details to fit your case.

Find all emails from [sender@example.com] received in the last 24 hours about [invoice]. Extract the date, sender name, and the total amount from each, then append them as new rows to my [Spreadsheet Name] sheet.

How it works

  1. 1

    Connect your accounts

In Automatio, go to Integrations and select the Gmail tile and the Google Drive & Sheets tile to sign in with Google.

  2. 2

    Grant access to your sheet

Paste the link to your specific spreadsheet in the chat or ask the agent to List spreadsheets to find one you have already opened through the app.

  3. 3

    Send your request

Type a prompt in the chat describing which emails to find and which spreadsheet columns to fill with the extracted data.

  4. 4

    Verify the update

The agent identifies the messages and appends the data; check your spreadsheet to see the new rows added at the bottom.

What you get

The agent identifies the relevant emails and appends their information to the end of your designated spreadsheet. You will see a confirmation in the chat detailing how many rows were added. Check your spreadsheet to ensure the data is in the correct columns, as the agent enters values as if they were typed.

Each write action adds the data as raw values. If the spreadsheet was not previously shared with Automatio, you must paste its link directly into the chat for the agent to access it.

Good to know

  • Appending rows to a spreadsheet costs 1 credit per write action in addition to the AI usage.
  • The agent cannot add or rename tabs in an existing spreadsheet or format the cells.
  • Automations to sync emails must be at least 5 minutes apart and require a balance of at least 1,000 credits to run.
  • Automatio does not use your Google API data to train AI models.

Variations to try

Weekly summary log

Every Friday at 4pm, find all emails from the last 7 days with the label [Work], summarize the main request in each, and append the summaries to my [Task Tracker] sheet.

Create sheet from feedback

Create a new spreadsheet titled [Customer Feedback] with a tab named [Responses]. Then, find all emails from the last month with [Feedback] in the subject and add the sender and body to the new sheet.

Questions

Do I need to connect Gmail separately?

Yes. You must sign in to both the Gmail integration and the Google Drive & Sheets integration within the Automatio Integrations page. The agent needs permissions for both apps to move data between them.

How much does this cost in credits?

Reading your emails and listing your spreadsheets costs nothing beyond the AI's own usage. Appending the extracted data to a sheet costs 1 credit per write action.

Can I automate this to run every morning?

Yes. If you ask for a repeating task, the agent proposes a scheduled automation. You can then resume it from the Automations page in the sidebar to let it run every morning.

Is my email data kept private?

Automatio follows the Google API Services User Data Policy. Your data is not used to train AI models, and access tokens are held securely by the integration service.
